Buyer takeaway
Compare the same product, pack, quantity and commercial scope before choosing the lowest price.

A low unit price is only a useful starting point.

Two quotations can describe the same-looking item while including different materials, weights, accessories or packaging. The buying decision becomes harder when the gaps are discovered after a sample is approved or an order is placed.

Start with one controlled request for quotation. Give each supplier the same item reference, quantities by variant, intended use, packaging requirements and commercial basis. Ask them to flag every deviation instead of quietly substituting an assumption.

Build one comparison sheet before negotiating.

QualityRequired tests, inspections and supporting documents.Which arrangements are included and which are separate?
DeliveryNamed trade term and location, timing basis and quote validity. What approvals must be complete before the lead time starts?

Separate commercial differences from product differences.

A lighter item or a simpler lid may be a valid cost option. It is useful only when the buyer understands the change and it still meets the intended use. Keep the requested version and any value-engineered alternative on separate lines.

Apply the same discipline to packaging and delivery. A price for a bulk-packed item should not be compared directly with a retail-ready version. For freight, duties and destination charges, obtain the applicable figures from the responsible logistics or customs providers; do not treat a unit price as a complete landed cost.

Worked example · Illustrative scenario

The cheaper bento-box quote that costs more on the agreed basis.

Assume an illustrative order of 12,000 identical boxes. Quote A is USD 2.10 per unit but excludes the required USD 0.18 retail pack and USD 300 artwork setup. Quote B is USD 2.23 per unit and includes both. All other product, testing and delivery conditions are assumed equal for this example.

OfferComparison calculationComparable order value
Quote A12,000 × (2.10 + 0.18) + 300USD 27,660
Quote B12,000 × 2.23USD 26,760

On these assumptions, Quote B is USD 900 lower for the order. This is an arithmetic example, not a MINKO quotation. The decision still requires approval of the actual sample, supplier capability and commercial terms.

Ask these five questions before confirming the price.

  • Is the quoted item exactly the one we approved, including all components?
  • Are quantities and minimums clear for each colour and packaging version?
  • Are sample, tooling, artwork and testing charges listed separately?
  • Are the named delivery term, location and quote validity recorded?
  • Is the production lead time linked to specific approvals and prerequisites?
